This Cookie Policy explains how Icletns uses cookies and similar technologies on https://iclients.co.uk, the business administration platform, and Icletns-powered booking forms.

1. What This Policy Covers

Cookies are small text files stored on a device. Similar technologies include local storage, pixels, software development kits, and other mechanisms that store information on or access information from a device.

The Business is responsible for technologies used on websites or other channels it controls, including pages that embed an Icletns booking form. Icletns is responsible for technologies set directly by an Icletns-hosted booking page, the Platform, or the booking widget. The Business and Icletns must each provide appropriate information and obtain consent for the technologies they control.

Strictly Necessary

These technologies are required to provide a service requested by the user, maintain security, authenticate users, remember privacy choices, or route traffic. They do not require consent where the PECR strict-necessity exemption applies, but they are still disclosed.

Functional

These technologies remember optional preferences or provide enhanced functionality. They are used only after consent where required.

Analytics and Performance

These technologies help understand usage, diagnose performance, and improve the platform. They are not treated as strictly necessary merely because they are useful to Icletns. They are used only after consent where PECR requires it.

Marketing

These technologies track activity for advertising or behavioural targeting. Icletns does not currently intend to set advertising cookies on its core SaaS or booking flow. If marketing technologies are introduced, they will be blocked until valid consent and added to the inventory below.

Cookie names may use a secure prefix in production and authentication providers may update technical names. This inventory will be reviewed when the production configuration changes.

Provider: Icletns.
Purpose: stores whether optional technologies were accepted or rejected.
Category: strictly necessary.
Duration: up to 3 months after acceptance and one week after rejection.

Authentication Cookies

Names vary depending on the authentication provider and Platform configuration.

Provider: Icletns authentication infrastructure.
Purpose: maintains authenticated sessions, protects authentication requests, completes sign-in, and prevents authentication attacks.
Category: strictly necessary.
Duration: session, short-lived security period, or up to 5 days for the Icletns session.

Diagnostic Events

Provider: the current error-monitoring provider identified in the Subprocessor List, where enabled.
Purpose: identifies application errors and reliability problems and may include device and request information.
Category: analytics and performance, or strictly necessary security where the specific configuration qualifies.
Duration: provider-configured and no longer than required for diagnostics.

Browser Local Storage

Provider: Icletns.
Purpose: preserves requested interface or application state where implemented.
Category: strictly necessary or functional depending on purpose.
Duration: the browser session or until cleared.

Icletns reviews this inventory against the production booking widget, authentication domain, third-party subscription checkout, error monitoring, content delivery, and analytics configuration when those systems change.

4. Subscription Payment Providers

Icletns subscription payments are processed by an independent third-party payment provider. When a Business opens provider-hosted payment functionality, that provider may set cookies or similar technologies for payment security, fraud prevention, authentication, and checkout operation. The provider controls those technologies under its own notices where it determines their purposes.

Icletns does not use its subscription payment provider to process or settle appointment-related transactions between Businesses and their Customers.

5. Booking Widgets on Business Websites

An Icletns booking widget may need strictly necessary technologies to load securely, maintain the booking session, prevent abuse, and submit a booking. Optional analytics or functional technologies must not be activated through the widget before any legally required consent.

The Business must:

Disclose Icletns in its privacy and cookie information.
Avoid loading optional widget features before consent where consent is required.
Obtain valid consent for its own analytics, advertising, or other non-essential technologies.
Provide an accessible way to change preferences.

Non-essential technologies are not permitted to be set before the user has made an informed choice where PECR requires consent.

Consent must be freely given, specific, informed, and indicated by a clear positive action. Rejecting optional technologies must not prevent access to core booking or account functionality, except where a requested optional feature cannot operate without its associated storage.

Selecting Allow all permits the optional categories described in the banner. Selecting Reject non-essential permits only strictly necessary technologies.

7. Changing or Withdrawing Preferences

Consent may be withdrawn at any time. Withdrawal does not affect processing that was lawful before withdrawal.

Use the cookie-settings control provided on this page or in the website footer to clear the saved preference and display the choice again. Browser controls may also delete existing cookies and site storage, but browser deletion is not the only withdrawal method provided by Icletns.

If optional technologies were previously enabled, withdrawing consent prevents their future use where technically possible; existing data may be retained for the periods described in the Privacy Notice.
